Summary

The Senior Coordinator, Executive Support is responsible for supporting the day-to-day administrative activities of the Center Director. This position will support work within the Center’s three mission areas of education, research, and clinical ethics.

This position offers the flexibility of a hybrid work arrangement.

Job Duties

• Provides advanced administrative support to the Director in the Center for Medical Ethics and Health Policy.
• Oversees administrative aspects of faculty, fellow and staff recruitment including: advertising open positions, organizing candidate materials, scheduling screenings and interviews, developing itineraries and making travel arrangements, and completion of appointment and onboarding paperwork.
• Oversees Center-wide initiatives including: onboarding support, center resource management, distribution lists, shared calendars, award nominations, milestone program and other recognition.
• Ensures accuracy and completeness of relevant documents for Center Director.
• Manages faculty reappointments, evaluations, and mentorship program.
• Provides additional support to department leadership as needed.
• Plans, organizes, and coordinates administrative duties for Center leadership including: scheduling in-person and video conference meetings, coordinating calendars and project meetings, preparing meeting materials, and organizing files.
• Coordinates travel and reimbursements for Center Director including establishing itineraries, confirming reservations, and organizing reimbursement documentation.
• Coordinates department events, retreats, and other functions (e.g., faculty retreat, ASBH conference activities, social events, intellectual events).
• Reviews expenditures from fund sources to verify accuracy, need, and compliance; reconcile relevant programmatic financial accounts.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Executive administrative support experience.
  • Strong written and verbal communication skills.
  • Experience working in an academic medical setting.
  • Experience with complex scheduling and calendar management.
  • Ability to demonstrate a high degree of flexibility in accepting work assignments with the ability to effectively prioritize tasks, understand processes, and resolve issues.
