What Your Job Will Be Like:
We are seeking a highly motivated and professional Office Management Assistant to support our team. In this role you will have the opportunity to partner closely with the SMA and other OMAs within the Center, as well as with the broader ND administrative team.
On any given day, you may be called on to:
+ Provide professional administrative support for an excluded organization
+ Provide backup coverage for the Center 400 SMA, other Center 400 OMAs, and the Center 300 administrative team
+ Calendar management for Senior Managers and L1 managers (calendaring often requires coordination for multiple senior managers and directors and often requires coordination of conference rooms that are in high demand)
+ Coordinate and schedule meetings including teleconferencing and videoconferencing
+ Coordinate and support logistics for various meetings and workshops (e.g., internal and external workshops, Tri-laboratory and HQ meetings and visits, and review panels)
+ Coordinate incoming visits, including groups and external boards
+ Coordinate outgoing visits, including classified visits
+ Assemble, print, and bind communication materials
+ Follow all procedures for the filing and maintenance of classified or sensitive documents and records
+ Review critical upcoming deliverables and events for managers and provide reminders
+ Make domestic and foreign travel arrangements for team as needed
+ Coordinate and make purchases for team as needed
+ Serve as a Property Coordinator
+ Manage a P-Card for Center 400
+ Due to the nature of the work, the selected applicant must be able to work onsite fulltime.

Qualifications We Require:
Requires high school diploma plus four or more years of directly related experience. To be qualified, the applicant must have passed, based on Sandia specified grades, the Sandia Secretarial tests.
+ Demonstrated ability to team effectively with managers, staff, other office management assistants, senior management assistants, and executive assistants.
+ Demonstrated proficiency in Microsoft Office programs
+ Demonstrated professional skills, including teamwork, autonomy, time management and initiative
+ Demonstrated ability to engage professionally in a fast-paced environment
+ Strong written and verbal communication skills
+ Experience with maintaining calendars and arranging meetings for managers
+ Knowledge of Sandia policies, processes and systems and an effective working network throughout Sandia
Required Testing: Applicants must meet the minimum pre-requisites to be scheduled for testing. The applicant will be contacted and scheduled for the next available test date. All applicants must be prepared to test upon application submittal. Once successful testing has been completed, the hiring manager will be notified. Full consideration will not be given to applicants that have not met all of the pre-requisites including testing. Interviews will not be scheduled until the applicant has successfully test-qualified and has been selected by the manager as a top applicant. Passing the test does not guarantee an interview or a selection.If the applicant is not able to schedule testing within the time constraints of the position posting, selection timelines, and the available test dates, they will not be considered for the position. Qualifications We Desire:
+ Three years of experience as an OAA or OMA at Sandia
+ Post-high school education and/or other administrative training
+ Experience executing complex tasks
+ A self-starter, able to accomplish tasks with minimal supervision
+ Ability to prioritize and coordinate multiple simultaneous requests and communicate status to stakeholders
+ Ability to execute a wide variety of assignments and tasks
+ Experience calendaring large (20+ attendees) meetings
+ Basic property management experience
+ Active DoE Q level clearance
About Our Team:
Center 400 is the line organization for Sandia's Nuclear Deterrence (ND) Weapons and Science & Technology (WS&T) Program Management Office and ND Technologies & Integration Office. The WS&T Program Office manages Sandia's funding from multiple NNSA offices including Research, Development, Test, & Evaluation (RDT&E, NA-11), Office of Infrastructure (NA-90), and Office of Warhead Assembly and Non-Nuclear Modernization (NA-193). The ND Technologies & Integration Office is responsible for managing the investment of ND-focused LDRD funds including the ND Mission Foundation and ND-sponsored LDRD Mission Campaign. In addition, this office manages ND's Mission Area Integration Initiatives (MAII) portfolio and coordinates the continuing development and communication of the ND Strategy. Along with the ND Weapons Engineering & Production Program Management Office (Center 300) we form the Bridge Team, forming a single, seamless program management team for Sandia's ND program.

Security Clearance:

NNSA Requirements for MedPEDs:
If you have a Medical Portable Electronic Device (MedPED), such as a pacemaker, defibrillator, drug-releasing pump, hearing aids, or diagnostic equipment and other equipment for measuring, monitoring, and recording body functions such as heartbeat and brain waves, if employed by Sandia National Laboratories you may be required to comply with NNSA security requirements for MedPEDs.

Position Information:
This Limited Term Employee (LTE) position is a temporary position for one year term, which may be renewed at Sandia's discretion up to a maximum of seven years.
Individuals in LTE positions may bid on regular Sandia positions as internal candidates, and in some cases may be converted to regular career positions during their term if warranted by ongoing operational needs, continuing availability of funds, and satisfactory job performance.
