Job Description

PURPOSE OF THE ROLE

Proactively and independently manage comprehensive day-to-day support to the Country Manager (CM).

Serve as thought partner to the CM to enhance culture and connectivity in the organization and conduct activities in support of Leadership Team members.

CALENDAR MANAGEMENT

  • Manage and maintain business calendars updated - anticipate conflicts and use diplomacy to resolve issues in advance. 
  • Proactively address pressing business issues that need immediate attention.
  • Coordinate appointments with external stakeholders (government agencies, embassies, associations), and internal executives. Ensure all engagements are timely and effectively organized.

MEETING & TRAVEL ARRANGEMENT

  • Organize leadership meetings: agenda, logistics, documents, preparing presentations and follow up on action items to meet goals.
  • Coordinate Travel Arrangements: Assist with travel planning, booking, and schedule organizations.

EXPENSE REPORTS AND VENDOR MANAGEMENT AND CONTRACTS

  • Ensure that expenses and payments are accurately processed and in compliance with company policies and financial regulations.
  • Track budgets in the system and maintain the CM and Finance informed.
  • PoC with Finance.
  • Support contract management. PoC with Legal for company main contracts.

REPORTING AND DATA MANAGEMENT

  • Prepare and organize weekly and monthly updates on company and financial activities, pulling basic metrics. Present information in a clear and concise manner
  • Create and maintain distribution lists, organizational charts and maintain electronic files.

OTHER

  • Project Management: Assist with project management and task organization to ensure timely completion of tasks.
  • Support to initiatives that require CM’s involvement.
  • Internal/External communications: Liaison between departments and the CM regarding internal communications (e.g organize All-Hands). Serve as the key interface to the CM for external groups (i.e. customers and partners) Track progress and provide updates on items of interest and follow up as directed.

ABILITIES

  • Work well in self-directed environment, with minimal instruction, assumes increased levels of responsibility and takes accountability for decisions and outcomes.
  • Very strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Strong reporting and presentation skills.
  • Project management skills/experience.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree (Communication, Public Relations, Marketing, Human Resources, Management).
  • Technologically proficient.
  • Excellent/ Fluent English command.

PREVIOUS EXPERIENCE

  • Experience as an executive and strategic assistant working with C-Suite Leaders.
  • Experience in leading projects.
  • Event planning.
  • Experience in interacting with managing relations with external stakeholders.
  • At least 3 years of experience in similar roles.

OTHER

  • 2-3 days/week working at Pfizer site as per Log In for Your Day policy if not a remote based colleague.
