The Administrative Analyst provides high-level administrative support, focusing on contract management, equipment procurement, and quality assurance. This role involves drafting, reviewing, and monitoring contracts, ensuring compliance with organizational policies, and managing the procurement of equipment from initial requisition to final delivery. The analyst is responsible for coordinating with vendors, obtaining quotes, processing purchase orders, tracking shipments, and maintaining accurate records. Additionally, they oversee quality assurance processes to ensure that equipment and services meet organizational standards. The role also includes assisting in budget preparation, policy development, and the implementation of procedures related to procurement, contract management, and quality assurance. Strong analytical, organizational, and communication skills are essential for success in this position.

As a successful candidate, you will:

  • Manage Contracts: Draft, review, and monitor contracts, ensuring they comply with organizational policies and legal requirements. Maintain accurate records and manage contract renewals.
  • Oversee Procurement: Lead the procurement process for equipment and supplies, from requisition to final delivery. Work closely with vendors to obtain competitive quotes, process purchase orders, and track shipments.
  • Ensure Quality Assurance: Implement and oversee quality assurance processes to ensure that all procured equipment and services meet the required standards and specifications.
  • Coordinate Projects: Assist in the planning, coordination, and execution of various administrative projects, ensuring timely and successful completion.
  • Support Budget Preparation: Collaborate in the preparation and monitoring of budgets related to contract management, procurement, and quality assurance.
  • Develop and Implement Policies: Contribute to the development and implementation of organizational policies and procedures, particularly those related to procurement, contract management, and quality assurance.
  • Provide Analytical Support: Conduct research, analyze data, and prepare statistical reports to support decision-making processes within the organization.
  • Foster Vendor Relationships: Build and maintain strong relationships with vendors and suppliers to ensure reliable and cost-effective procurement solutions.
  • Communicate Effectively: Liaise with internal departments and external partners, providing clear and effective communication to support organizational goals.
  • Maintain Compliance: Ensure all processes adhere to relevant regulations and standards, mitigating risks and ensuring organizational integrity.
  • Slide Pool and Organization: Create and organize slide pools and pathology material for presentations, ensuring all materials are accurately prepared and effectively presented.

Your qualifications should include:

  • Bachelor’s degree in Finance, Accounting, or a related field. An additional 3 years of relevant experience may substitute for the minimum education requirement.
  • 2-5 years of experience in Accounts Payable or Accounting Operations, demonstrating hands-on expertise in financial management and operations.
  • Advanced skills in Microsoft Office, particularly Excel, for data management and analysis.
  • Familiarity with ERP systems, such as PeopleSoft, is a plus.
  • Excellent communication, presentation, and facilitation skills to effectively convey information and engage with stakeholders.
  • Strong organizational skills to manage tasks efficiently and keep accurate records.
  • Proactive and able to work independently with minimal supervision.
  • Ability to establish and maintain effective contacts within the organization, fostering strong working relationships across departments.
  • Solid understanding of GAAP (Generally Accepted Accounting Principles), SOX (Sarbanes-Oxley Act), and relevant regulatory guidelines to ensure compliance and accuracy in financial and administrative processes.

Salary / Pay Rate Information:
Pay Rate: $32.00 - $40.34 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
