Regulatory Affairs Department Assistant(Contractor)
Job Description
This role will provide a full-range of administrative support to members of the Pfizer Regulatory Affairs Division.
The responsibilities for this role include:
Archive department documentation and keep archive updated (hard copy and electronic)
Update & check global and local systems periodically to reflect correct local information and respond to questions from local and global counterparts
Take necessary actions for products which do not have a product responsible colleague
Ensure audit readiness for all systems, sharepoints, hardcopy archive at all times
Keep organization charts and job descriptions updated
Organize courier service as needed
Follow up dates of power of attorney documents and e-signatures and update as needed
Organize and finalize payments for the MoH fees and vendors
Initiate and follow-up payments for third party services, equipments, etc.
Create reports from global and local systems
Prepare and edit reports, excel sheets and presentations using Microsoft Office software; organize and maintain electronic and hard copy files
Expedite flow of work items, and initiate follow-up when necessary
Follow up external announcements (e.g. Agency website Official Gazette,. ..) and make internal announcements as needed.
Take role in specific steps of labeling process (quality checks, sharing approved versions with external stakeholders e.g. RxMedia), keep local company website updated
Proactively maintain Outlook calendars, anticipate conflicts, and use diplomacy to resolve problems in advance; assist with meeting scheduling, conference room reservations, teleconference set-up and associated meeting logistics
Coordinate travel arrangements and support the planning of team meetings; prepare itineraries
Coordinate donation processes such as gathering the related documents, following the PO orders, delivering the donation items to the districts and coordinating the donation budget
Arrange for visitor passes and access
Announcing new birth, death and marriage information to all colleagues
Onboarding of new collegues
Prepare expense reports, track reimbursements
Ensure proper invoice routing and tracking
Set-up and maintain project and general correspondence files
Provide project management assistance when necessary
Uses appropriate discretion in the management of information
Serve as back-up support for other colleagues if needed
Qualifications
Bachelor's Degree
Excellent communication skills in English and Turkish
Detail oriented
Strong organizational skills with a proven ability to prioritize and work independently
Demonstrated resourcefulness, with ability to anticipate needs, prioritize responsibilities and take initiative
Proficiency in MS Word, Excel, PowerPoint, and Outlook
Previous experience that demonstrates ability to proactively carry out administrative functions proficiently, and to complete quality work in a timely manner
Ability to work independently as well as part of a team
