Job Description

Summary

The position will provide grants and contract administration in the Center for Research Advancement supporting divisions in the Department of Pediatrics. Primary assignments will be with the divisions of Critical Care Medicine, Hospital Medicine, Gastroenterology and Rheumatology. Other divisions may be assigned on a temporary basis based on factors such as volume, need, grant submission dates, etc. Reports through the Pedi-CRA Office and Division leadership for key deliverables. The Senior Research Administration Associate will be primarily responsible for the pre and post-award financial management activities of grants, managing the grant award life cycle, from application to closeout. Highlighted duties and responsibilities include conducting cost assessment, budget development, navigating the submission process using internal and external systems, financial set-up, resource allocation, and reporting. Reporting requirements include, but are not limited, to reconciliations, preparation of PI and Sponsor reports, grant close out and FSR's.

This role is eligible for a hybrid work schedule.

Employees with CRA certification are eligible for certification pay.

Job Duties

  • Manages data of active, pending, and closed grants for the Center for Research Advancement, supporting multiple Divisions: number of submissions, number of awards, faculty effort and other statistics related to grant reporting.
  • Provides budget input and guidance to principal investigators when drafting budget justifications, creates the budget spreadsheets, and completes other budget forms for submission and reporting.
  • Negotiates industry-sponsored contracts, including clinical trial agreements, sponsored research agreements, and material transfer agreements.
  • Communicates with BCM Accounting, Grants & Contracts, and collaborating institutions to ensure sub-awards and independent consultant agreements are established and executed in a timely manner.
  • Manages Cost/Effort allocations in PEPT/SAP for research faculty, employees, and learners.
  • Manages the Time/Effort certification process in the BCM Effort Reporting System.
  • Ensures compliance with all federal, sponsor, and institutional policies and guidelines and serves as a liaison between faculty, employees, learners, Baylor College of Medicine, and sponsors.
  • Supports Researchers in Pediatric Critical Care Medicine/Hospital Medicine/Gastroenterology/Rheumatology. Divisions with 50+ faculty members.
  • Manages complex awards and sub-awards from multiple sponsors and outside institutions: industry, clinical, federal, and foundation;including, but not limited to CDC & NIH.
  • Performs other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Four years of relevant experience.

Preferred Qualifications

  • Direct grants management experience (pre and post-award).At least 4 years of relevant experience, in grant application development, budgeting, and/or grant financial management.
  • Should be very comfortable using MS Excel with a intermediate to advanced skill set.
  • Must be a STRONG communicator both written and verbal.
  • Able to take direction from PI and CRA leadership, and independently complete assignments with limited or no assistance.
  • Must have wide-depth of knowledge with relevant experience of contracts, subcontracts, and be highly comfortable managing multiple projects at one time.
  • Must have a working knowledge of sponsor application submission systems such as ASSIST, Workspace, and Proposal.
  • Prior experience working in an healthcare finance oran academic research setting.
  • Ability to understand and manage the complexities of research grants, including issues related to informed consent, access to data, and conflict of interest.
  • Strong attention to detail and data quality.
