Position Summary:
Independently executes a broad range of operational, administrative, and support activities for the project, department or division. Specific tasks include:
Coordinating, assisting, and/or managing meetings for leadership, including drafting and distribution of minutes.
Coordinating and overseeing contract management and capital processes by analyzing and reporting the spend and adherence to pricing,
Managing small internal projects within the department/division
Coordinating management calendars and activities
Support and manage assignments including preparing data and reports
Works independently and has a detailed knowledge of department/project activities and procedures, including updating the huddle boards, project schedules and standard work manual. Performs research, analyzes data and makes recommendations on project related services and documentation. Supports and manages report preparation and presentations to a diverse audience of external and internal entities. Coordinates communication across the enterprise on behalf of Directors and above. Support others as required.

Minimum Education:

Associate’s Degree

Minimum Experience:

Minimum of two years of experience in business office and administrative analysis with skill at creating and utilizing tracking and controls systems.

Preferred Education:

Bachelor’s Degree preferred

Pref. Courses / Training:

LEAN Six Sigma Green Belt training, Design Thinking, courses in finance, economics or business law

Pref. Experience:

Administrative support roles with contract involvement in demanding complex work environments, preferred healthcare or research facilities development, facilities management, or academic departments.

Software:

Microsoft Office Suite (High level of competency with PowerPoint, Visio and Excel) Adobe Professional, People Soft, Prezi and Database experience (more than data entry), Archibus, e-Builder

Salary / Pay Rate Information:
Pay Rate: $24.81 - $40.90 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
